Privacy Policy
Deana Von Lumina – Fine Art Photography
Last updated: 18 October 2026
Thank you for visiting. This policy explains, in plain English, what personal information I collect through this website, why I collect it, who helps me look after it, and the choices and rights you have. I've tried to keep it short and clear. If anything is unclear, please just ask.
1. WHO I AM
This website belongs to Deana Von Lumina, a fine art photographer based in Oxfordshire, United Kingdom.
For the purposes of UK data protection law (the UK GDPR and the Data Protection Act 2018), I am the "controller" of your personal information. That means I decide how and why it is used, and I am responsible for looking after it properly.
Privacy contact: deanavonlumina@outlook.com
When I write "I", "me" or "my" in this policy, I mean Deana Von Lumina.
2. WHAT INFORMATION I COLLECT
I only collect what I actually need.
When you get in touch through the contact form or by email
• Your name and email address
• Anything you choose to tell me in your message
When you join my newsletter or collectors' list
• Your email address, and your name if you give it
• Whether you open emails or click links in them, which helps me know what people enjoy
When you buy a print
• Your name, email address, billing address and delivery address
• Your phone number, if you give it (couriers sometimes need it for delivery)
• Details of what you ordered and when
• Payment details, which are handled directly by Stripe. I never see or store your full card number.
When you browse the website
• Technical information such as your IP address, browser type, device, the pages you visit, how you arrived at the site and roughly where you are (country or region). This is collected through Squarespace's analytics and cookies (see section 9).
I don't collect any "special category" information (such as health details or religious beliefs), and I'd ask you not to send it to me.
3. MY LAWFUL BASES FOR USING YOUR INFORMATION
UK law says I need a valid reason, called a "lawful basis", for using your personal information. These are the ones I rely on:
• Contract: to process, deliver and support your print order, because I can't do that without your details.
• Consent: to send you my newsletter or collectors' list emails, and to use non-essential cookies such as analytics. You can withdraw your consent at any time.
• Legitimate interests: to reply to your messages, keep the website secure and working properly, and understand in general terms how the site is used, so that I can run and improve my small business. I always weigh this against your rights and expectations.
• Legal obligation: to keep sales records for tax and accounting purposes, as HMRC requires.
4. HOW I USE YOUR INFORMATION
I use your information to:
• reply to your enquiries, including about commissions, exhibitions and collaborations
• take payment for, produce, ship and support your print orders, including returns and any problems with delivery
• send you news about new work, print releases and exhibitions, if you've signed up
• keep the website safe, running smoothly and easy to use
• meet my legal, tax and accounting obligations
I will never sell your personal information, and I don't use it for automated decision-making or profiling that has a legal or similarly significant effect on you.
5. WHO HELPS ME RUN THE WEBSITE (MY PROCESSORS)
Like most small creative businesses, I rely on a few trusted service providers. They only use your information to provide their service to me, under contracts that require them to keep it safe.
• Squarespace – hosts this website and runs the contact form, the newsletter and collectors' list signup (including the emails I send), the online shop, analytics and cookies.
• Stripe – processes card payments securely for print sales made through Squarespace Commerce. Stripe may also use some payment information to prevent fraud and meet its own legal obligations. You can read more in Stripe's privacy policy.
• theprintspace (creativehub) – prints, packs and ships your order. They receive the details they need to do this, such as your name, delivery address, order details and, where needed, your email address or phone number.
• Google Workspace – provides my business email, so if you email me, or I reply to a form message, your message is stored there.
I may also share information if the law requires me to, or with professional advisers such as an accountant, where that's necessary.
Links to other sites
This website links to my pages on Patreon, GoFundMe and Instagram (@deanavonlumina). These are independent services with their own privacy policies. When you click through, or support me or follow me there, those platforms decide how your information is used, so please read their policies. I'm not responsible for how they handle your data.
6. INTERNATIONAL TRANSFERS
Some of my service providers (including Squarespace, Stripe and Google) are based in, or use systems in, the United States or other countries outside the UK. When your information is transferred outside the UK, it is protected by appropriate safeguards recognised under UK law. These include UK "adequacy" regulations (such as the UK–US Data Bridge for certified organisations), the UK International Data Transfer Agreement, or the UK Addendum to the EU Standard Contractual Clauses. You can contact me for more information about these safeguards.
7. HOW LONG I KEEP YOUR INFORMATION
I keep personal information only for as long as I need it:
• Enquiries: up to two years after our last contact, unless they lead to an order or ongoing work.
• Newsletter and collectors' list: until you unsubscribe. After that I keep only your email address on a suppression list, so that I don't email you again by mistake.
• Orders and sales records: six years from the end of the financial year in which the sale took place, to meet tax and accounting requirements.
• Analytics data: in line with Squarespace's standard retention periods. It is used in aggregate, not to identify you personally.
When information is no longer needed, I delete it securely or anonymise it.
8. YOUR RIGHTS
Under UK data protection law you have the right to:
• access the personal information I hold about you
• correct information that is wrong or incomplete
• erase your information in certain circumstances
• restrict how I use your information in certain circumstances
• object to my using your information on the basis of legitimate interests, and to direct marketing at any time
• data portability, meaning you can receive certain information in a commonly used format or have it passed to someone else
• withdraw consent at any time where I rely on consent. This won't affect anything I did before you withdrew it.
You can unsubscribe from my emails at any time using the link at the bottom of every email. To use any other right, just email deanavonlumina@outlook.com. There's normally no charge, and I will reply within one month. I may need to check your identity first.
Complaints
If you're unhappy with how I've handled your information, please tell me first so I can try to put it right. You also have the right to complain to the Information Commissioner's Office (ICO), the UK's data protection regulator:
• Website: ico.org.uk
• Helpline: 0303 123 1113
9. COOKIES
Cookies are small text files stored on your device when you visit a website. This site runs on Squarespace, which uses:
• Strictly necessary cookies – needed for the site and shop to work, for example to remember what's in your basket, keep checkout secure and remember your cookie choices. These don't need your consent.
• Analytics and performance cookies – these help me understand how visitors use the site, such as which pages are popular. I only use them with your consent.
When you first visit, a cookie banner lets you accept or decline non-essential cookies, and you can change your mind at any time through the cookie settings link on the site. You can also block or delete cookies in your browser settings, although parts of the site, such as the shop, may not work properly without the essential ones.
Embedded content or links from other platforms, such as Instagram, may set their own cookies, which are covered by those platforms' policies.
10. CHILDREN
This website is intended for adults and is not aimed at children. I don't knowingly collect personal information from anyone under 13. You must be 18 or over to buy prints. If you think a child has given me their details, please contact me and I'll delete them.
11. KEEPING YOUR INFORMATION SAFE
I use reputable providers with strong security, use secure passwords and two-step verification on my accounts, and limit access to your information to what's needed. No system can be completely secure, but I take care to protect what you share with me.
12. CHANGES TO THIS POLICY
I may update this policy from time to time, for example if I start using a new service or the law changes. The latest version will always be on this page, with the date it was last updated at the top. If I make significant changes, I'll make that clear on the site or, where appropriate, let you know by email.
13. CONTACT ME
If you have any questions about this policy or your personal information, I'd be happy to help.
